  • Email: lionsportstherapy@gmail.com

This policy explains what we collect, why we collect it, and your rights under UK data protection law (the UK GDPR and the Data Protection Act 2018). It was last updated in October 2026.

The information we collect

We collect only what we need to book, treat and contact you.

  • Contact and account details: your name, email address, phone number and address, and the login details for your online booking account.
  • Appointment details: the services you book, the dates and times, and the therapist you see.
  • Health information: your medical history, injuries, symptoms and treatment notes, taken from your consultation form and your appointments.
  • Payment records: what you paid and when. Card payments are handled by Stripe or PayPal, and we never see or store your full card details.
  • Messages: emails, texts, WhatsApp messages and anything you send through our contact form.
  • Website data: your IP address, browser type and cookie choices when you use our website.

Most of this comes directly from you. For clients under 18, we also record the name and signature of the parent or guardian who attends with them.

Your health information

Health information has extra protection in law, and we treat it accordingly.

  • We collect only what we need to assess and treat you safely.
  • We ask for your explicit consent on your consultation form before your first treatment.
  • You can withdraw that consent at any time. If you do, we may not be able to treat you safely.
  • Only the therapists treating you at Lion Sports Therapy & Rehabilitation see your health information.
  • We keep treatment notes on paper and on our booking system.

We share health information outside the clinic only if you ask us to (for example, a letter to your GP), if the law requires it, or in an emergency to protect someone’s life.

Who we share your information with

We share your information only with the companies that help us run the clinic, and only as far as they need it.

  • Stripe and PayPal process your payments.
  • Google provides our email and appointment calendar.
  • Our website hosting, security and backup providers store and protect the website and booking system.
  • Our accountant and HMRC see financial records where the law requires it.

Some of these companies store information outside the UK. When they do, they must protect it with safeguards recognised under UK data protection law.

How long we keep your information

We keep your information only for as long as we need it, then delete or destroy it securely.

Information How long we keep it
Treatment records and health information 7 years after your last appointment
Treatment records for clients under 18 Until the client turns 25
Payment and invoice records As long as tax law requires, usually about six years
Enquiries that do not lead to a booking 12 months

How we keep your information secure

We limit who can see your information and protect the systems that hold it.

  • Only our therapists and the people who maintain our website can access client records.
  • Our website uses an encrypted connection and a security firewall, and it is backed up regularly.
  • Any paper records are kept locked away.

No way of sending information over the internet is completely secure. If a data breach is likely to put you at risk, we will tell you and the Information Commissioner’s Office as the law requires.
